What Is a Request for Approval (RFA) in Construction?

In construction project management, an RFA usually means Request for Approval: a formal submission from the contractor to the engineer or consultant that describes an item, such as a material, drawing or method, and asks for their review comments and approval before the work proceeds.

What does RFA mean in construction?

On most construction projects, RFA stands for Request for Approval. The contractor sends the engineer or consultant a document that identifies the item, attaches the supporting information and asks for a formal response. It is closely related to a material submittal: many projects use RFA as the name for the request form or log entry that carries a submittal.

Note that RFA has other meanings outside this context. In grant and procurement settings it can mean Request for Application or Request for Aid. This page covers the construction meaning only.

RFA vs RFI

The two are often confused. An RFI (Request for Information) asks a question about the design or contract documents and receives an answer. An RFA asks for approval of something the contractor proposes and receives a decision on it. If you need clarification, raise an RFI. If you want the engineer to accept a material, drawing or method, raise an RFA.

What goes into an RFA

Practice varies by contract and specification, but a complete request normally includes:

  • A unique reference number and revision, and the date submitted.
  • A description of the item and the specification clause or drawing it relates to.
  • The supporting documents: product data, drawings, samples, test reports or a method statement.
  • The response date required, taking the review period in the contract into account.

Typical RFA statuses

Projects set their own codes, but the common outcomes are: approved; approved as noted (proceed once the comments are applied); revise and resubmit; and rejected. The statuses and their meaning should be defined in the project's approval procedure, and work that needs approval should not proceed before the request is cleared.

RFAs on Gulf projects

Approval requests of this kind are normally exchanged between the contractor and the consultant under the project's document control procedure, and the contract or specification sets the review period. The names differ between projects, so check whether yours calls them RFAs, submittals, material approval requests (MAR) or something else.

How Arkan handles approval requests

Arkan does not have a separate RFA module. Approval requests are handled as submittals, which move through the project's configurable workflow.

  • Create a submittal document request, attach the documents and use Send Request to submit it into the approval workflow.
  • Workflow actions such as Approve, Reject or Forward route the request between groups, with a workflow history that shows the approval trail.
  • Track submittals by status, including Under Process, Revision, Approved and Rejected, on the dashboard and follow-up grid.
  • Raise RFIs for design questions separately, so information requests and approval requests stay distinct.

Frequently asked questions

What is the full form of RFA in construction?

In construction project management, RFA most commonly stands for Request for Approval. In grant and procurement contexts it can also mean Request for Application or Request for Aid.

What is the difference between an RFA and an RFI?

An RFI asks for information or clarification about the design or contract documents and gets an answer. An RFA asks for approval of a contractor proposal such as a material, drawing or method and gets a decision.

Is an RFA the same as a submittal?

They overlap. A material submittal is the package of documents or samples sent for approval, and an RFA is often the request or log entry that carries it. Some projects use the two terms interchangeably.

What does 'approved as noted' mean on an RFA?

It generally means the item is accepted on condition that the reviewer's comments are applied. It does not mean the comments can be ignored. Check how your project's approval procedure defines each status.
