What Is a Transmittal in Construction?

A document transmittal is a formal cover record that lists the documents sent from one party to another, with their numbers, revisions, dates and the purpose of issue. It gives the sender proof of what was delivered and when, and tells the receiver what action is expected.

What a transmittal records

Formats vary, but a transmittal normally shows:

  • Transmittal number, date, sender and recipient.
  • Each document's title, number, revision and number of copies or files.
  • The purpose of issue, for example for information, for review, for approval or for construction.
  • The response required and the date by which it is needed.

Why transmittals matter

Many contract time periods start when a document is received. A transmittal fixes the date and the revision that was sent, which helps settle questions such as whether a drawing was issued on time or which version the site built to. In a delay or payment dispute, this record can be the difference between an assertion and evidence.

Transmittals, submittals and RFIs

A transmittal is the delivery record. A submittal is the item sent for approval, such as a material sample or shop drawing, and an RFI is a question. A submittal or RFI is usually sent with a transmittal or is logged in a system that records the same details.

Transmittals on Gulf projects

Most Gulf projects have a document control procedure with a numbering system, transmittal forms and defined review periods. Consultants and clients often set their own formats, so use the form and numbering required by your project's procedure.

How Arkan supports document records

Arkan keeps documents under control with versions and an audit trail, and runs submittals and RFIs through approval workflows.

  • Controlled documents have version tracking and a full audit trail, with originator company and visibility level.
  • Submittals and RFIs have their own modules with statuses and approval workflows.
  • Notifications tell the people involved when something needs their action.
