What Is a Daily Site Report in Construction?
A daily site report is a record, completed every working day, of what happened on site: who worked, what equipment was used, what work was done, what was delivered, the weather and any incidents or instructions. It forms the basic factual record of the project and supports progress reporting and claims.
What goes in a daily report
Formats differ by company and project, but a daily report usually records:
- Date, weather and working hours.
- Manpower by trade or subcontractor.
- Equipment on site and whether it worked or stood idle.
- Work carried out, by location or activity.
- Material deliveries and consumption.
- Visitors, instructions received, delays, safety observations and incidents.
Why daily records matter
Memory is a weak basis for a delay or payment dispute months later. Daily reports made at the time give consistent, dated evidence of resources and events. They help show whether a delay event was on the critical path, what work was disrupted and what resources were standing idle, which supports extension of time and cost claims.
Daily report versus progress report
The daily report is a detailed, same-day record for the site team. The progress report summarises a longer period, usually a month, for the client and consultant, and draws on the daily records. Accurate daily reports make the monthly report faster and more reliable.
Daily reports on Gulf projects
Gulf contracts and consultants usually require daily or weekly reports in a set format, and many require them to be signed or approved. Site conditions such as summer heat can also affect working hours, so recording actual hours and weather each day is useful. Use the format your contract requires.
How Arkan handles daily reports
The Daily Logs module replaces paper daily reports with a structured digital record.
- Record manpower, equipment, material deliveries and consumption, visitors, and safety incidents or observations.
- Each log follows a Draft, Submitted, then Approved or Rejected workflow.
- The overview shows live weather for the project site and the project completion ring from Primavera data.

Frequently asked questions
Who prepares the daily site report?
Typically the contractor's site engineer or foreman, with the consultant's supervision team keeping its own record.
Is a daily report the same as a site diary?
They overlap. A site diary is often an informal personal record; a daily report is a formal submission with a standard format.
How long should daily reports be kept?
Keep them for at least as long as the contract's claim and limitation periods. Your legal adviser or contract can confirm the period.
